Dear Food Vendor:

This year the event will take place on Saturday May 10 and Sunday, May 11, 2025, from 10:00AM to 6:00PM each day. As always, the event will be located at Park Boulevard and Presidents Way in Balboa Park, San Diego, CA.

The Registration Form is attached. You may set-up on Friday, May 9, 2025 after 1:00 PM if you wish. Otherwise, Set up will begin at 7:00 AM on Saturday, May 10, 2025. We will provide overnight security and you may leave your canopy setup if you wish, you assume all responsibility for loss or damage.

Break down and cleanup will begin at 6:00 P.M. on Sunday, May 11, 2025.

1. Space Fee: $500. You must clean up adequately, or you would not be invited to return next year.

2. EACH VENDOR MUST APPLY FOR AND OBTAIN A SEPARATE TEMPORARY FOOD FACILITY PERMIT from the County of San Diego Dept. of Environmental Health, Food & Housing Division. Here is a link to the Vendor Application Packet: Temporary Events Sponsor Packet (sandiegocounty.gov). Please let me know if you need assistance with this process. Don’t register late. There is a hefty late fee.

3. Vendors will receive a 12 X 12 space.

4. You must bring your own setup. No tables, chairs or electricity will be provided.

5. You are responsible for the cleanliness of your area during and after the event. Trash must not be allowed to “overflow”. Full trash bags must be placed in the “roll off” dumpster or appropriate collection dumpster located in the parking lot. See below.

A. Trash must be separated from recyclable and organic materials.

B. According to new state law, all organic material must be collected separately and placed in the GREEN organic recycling dumpster in the parking lot. We will provide collection boxes specifically for organic.

C. All recyclable material, boxes, etc. must be placed in the BLUE recycling dumpsters in the parking lot.

D. All other trash goes in the roll off dumpster in the parking lot.

E. Please take care of the grass. If you need help with a spill let us know, we have spill kits available.

6. We will be distributing $15 meal tickets to some of the participants which you agree to redeem as a condition of your participation. You also must agree to treat the meal ticket as cash. In other words, if someone spends $8.50 at your business, you will give them $6.50 in change. We pay you the full amount of the meal ticket and you must pay change just like you would for any other cash transaction. Therefore, you may want to bring more money for change purposes. We will collect the meal tickets at the close of the pow wow on Sunday and confirm a total amount with you. A check will be mailed to you within two weeks or may be paid through our PayPal account as a credit to the card you used to register.

7. By registering, you agree to comply with any Federal, State or County rules and/or guidelines relative to Covid-19 in place at the time of the event. You also agree to comply with the rules stated above.

8. We reserve the right to refuse participation to anyone.

If possible, would you please consider opening a space for dancers and drummers so that they don’t have to wait in long lines? It would be most appreciated by the pow wow participants.
